Terms and Conditions of Use and Agreement
[Information Consent]
By submitting your registration, you consent to the collection of all information necessary regarding your child(ren)/ward(s) under the age of 13.
[Medical Consent and Health Agreement]
1. Illness and Injury Policy
(Aligned with Medical Consent and Health Agreement – Non-COVID-19 Related)
The health, safety, and well-being of all campers are a top priority. The following outlines how illnesses, injuries, and medical emergencies are handled during camp and is consistent with the Medical Consent and Health Agreement provided at registration.
2. Medications
Parents must inform camp staff if their child requires prescription medication, an inhaler, or an EpiPen during camp. All prescription medications must be provided in their original container, clearly labelled with the child’s name and pharmacy information, in accordance with the Medical Consent and Health Agreement.
3. Minor Injuries and Accidents
Minor injuries such as small cuts, scrapes, nosebleeds, or bruises will be treated by camp staff using appropriate first-aid procedures. Care may include cleaning the affected area, applying bandages, compression, or ice.
All minor injuries and the care provided will be documented, and parents or guardians will receive a report at camper pick-up.
If treatment requires over-the-counter (OTC) medication, camp staff may administer approved medications only if permission has been granted in the Medical Consent and Health Agreement. Approved OTC medications include Tylenol (acetaminophen), Advil (ibuprofen), Benadryl (antihistamine), and Pepto-Bismol, Tums, or other antacid/anti-gas medications. Parents will be notified following the incident and may request early pick-up if desired.
4. Medical Emergencies or Major Injuries
In the event of a medical emergency or serious injury, parents or guardians will be notified immediately. Camp staff will recommend an appropriate course of action and follow parent instructions whenever possible. If a parent cannot be reached, the emergency contact listed on the registration form will be contacted.
If neither a parent nor an emergency contact can be reached, or if delaying care would jeopardize the camper’s health or safety, an adult staff member in charge may authorize emergency medical treatment consistent with the Medical Consent and Health Agreement. This may include contacting 911, emergency transportation, hospitalization, X-ray examinations, anesthesia, and necessary medical, dental, or surgical treatment under the supervision of a licensed physician or surgeon.
[Media Consent and Release Waiver]
At Chinese Folk Arts Summer Camp, we treasure capturing the joyful moments of camp life—from high-fives during outdoor games and the creativity of parent-child craft sessions to the applause following a great performance at our talent show. These images help us celebrate the spirit of camp and share meaningful memories with our families. At the same time, your comfort and your child’s privacy are our top priorities. To ensure that each family’s media preferences are fully respected, we use discreet, color-coded wristbands/badges that allow our media team to identify, in real-time, which students may be photographed freely and which should not appear in photos and videos, all without interrupting the camp experience. Please let us know your preference by selecting the option that feels right for your family—we promise to honor your choice with the utmost care and respect.
Fully Support - I grant permission for the camp to use photographs/ videos of my child for promotional purposes (website, social media, marketing materials)
Total Decline - We prefer to keep our child’s camp experience entirely off-camera. Please ensure they do not appear in any photos or videos, whether public or internal.
[Registration, Cancellation, and Refund Policy]
Camp registration is non-transferable. All processing fees are non-refundable.
Refunds for program cancellations are subject to the following conditions. No credits will be issued for future programs.
Cancellation requests received in writing via email before April 15, 2026, are eligible for a 75% refund of the paid program fees.
Cancellation requests received in writing via email before May 15, 2026, are eligible for a 50% refund of the paid program fees.
Cancellation requests received on or after May 15, 2026, are not eligible for any refund.

[Administrative Policy]
1. Late Pick-Up Policy
Timely pick-up is important for the safety and supervision of all campers. Campers must be picked up by the official end time of the camp day.
A late fee of $1 per minute, per child will be charged for pick-ups occurring after the scheduled dismissal time. Late fees must be paid promptly and may be required before the camper’s next day of attendance.
2. Visitor Policy
For the safety, well-being, and learning experience of all campers, we ask that there be no classroom interruptions from outside visitors. If you need to pick up your child early, please check in at the camp office first so our staff can assist you.
[Camper Behavior and Conduct Policy]
Wisdom Culture and Education Organization (“WCEO”) is committed to creating a safe, respectful, and positive environment for all campers. Camper behavior is expected to support the safety, well-being, and learning experience of everyone participating in our programs.
1. Behavior Expectations
Campers are expected to treat others with respect and to follow camp rules and staff guidance at all times. Behaviors that disrupt the camp environment or compromise safety will be addressed promptly and appropriately.
2. Minor Behavior Concerns
Minor conflicts that occur during camp activities may be handled by our high school–aged camp counselors (Teaching Assistants), under adult supervision. Typical responses may include helping campers talk through the situation, separating those involved, taking a short break from activities, or meeting with an adult staff member for guidance and support.
3. Bullying and Serious Behavior Concerns
Bullying and other serious behavior concerns—such as physical aggression or sexual harassment—are not tolerated and will be addressed immediately by an adult supervisor. Parents or guardians will be notified as soon as possible.
In accordance with California law, bullying is defined as any severe or repeated physical, verbal, written, or electronic behavior (including text messages, emails, or social media), committed by an individual or group, that may reasonably be expected to result in one or more of the following:
Placing a camper in fear of harm to their person or property
Causing harm to a camper’s physical or mental health
Substantially interfering with a camper’s learning or ability to focus
Substantially interfering with a camper’s ability to participate in or benefit from camp activities or privileges
Depending on the nature and severity of the behavior, a camper may be sent home for the remainder of the day or dismissed from the camp for the remainder of the session.
3. Reporting Behavior Concerns
Campers, parents, and guardians are encouraged to report any concerns about behavior, including bullying, harassment, or unsafe conduct, as soon as possible.
Campers should report concerns to a camp counselor, Teaching Assistant, or any adult staff member.
Parents or guardians may report concerns by contacting the camp office, camp director, or designated program supervisor, either in person or in writing.
Reports may be made confidentially, and all concerns will be taken seriously and reviewed promptly.
WCEO will make reasonable efforts to investigate reported concerns and respond in a timely and appropriate manner while respecting the privacy of all individuals involved.
4. Safety and Responsibility
Our goal is always to work in partnership with families to maintain a safe and supportive camp environment. If a behavioral incident results in legal involvement, responsibility rests with the individuals involved and their parents or guardians. Wisdom Culture and Education Organization (“WCEO”) is not responsible for such actions.
